CHAGFORD ALLOTMENT HOLDERS’ ASSOCIATION
Minutes of the committee meeting held at 7pm on 19th December 2011 at 49 New Street
Present: Graham Adnitt, Anne Thorn, Matt Smith, Rosina Kellman, dave Phillips and Ian Page
1. Apologies for absence:

2. Minutes of the previous meeting of 17th October 2011
These were approved.
3. Matters arising from the previous meeting.
Bank mandate: Ian still to sign.
Fencing of the Northern boundary
Encroachment of neighbouring properties: Dealt with during work weekend.
Montessori Nursery Insurance: Ian to try and talk with Sebastian.
Deer Fence: Permission to be sort for access to neighbouring property to masses what work needs to be carried out.
Seed order catalogue: Ian to put out catalogues.
Waiting List Notice: Helen not present to discuss.
Offer to measure plots: Was declined.
Chagford primary school CSV Day: This was a great success. Congratulations from the committee to everyone involved.
Blog and Email address: This is now up and running. The committee congratulated Matt for setting this up. Committee meeting minutes now to be added to the blog.
4. Finance and collection of rents.
All rents have now been paid.
Insurance is due for renewal in January.
It was discussed that manure was not being paid for and it was agreed that a new sign should be installed to remind people of the cost and how to pay. It was discussed that we no longer supply manure and it was decided that this would have to be raised at the AGM.
5. Inspection of plots and responses.
Following the December allotment inspection, the visit was discussed by the committee. The decision was made that contact be made with 3 members regarding their plots in order to understand the member’s situation and to see how the committee could aid those members.
6. Allocations.
Helen was unavailable to discuss the allocations. It is understood that 3 plots are available and would shortly have tenants.
7. Work weekend.
This was a great success and the committee would like to thank those members that came out to help. Well done to all.
A discussion was started on how to keep the leat running and on how to stop the banks from collapsing into it. It was decided to look at various options and to obtain quotes in order for the subject to be discussed at the next AGM.
8. Any other business.
A card was signed to Fay Charters to thank her for her time with the committee.
The committee purchased a set of drain rods in order to keep the drainage pipe by the gate clear.
9. Date and place of next meeting.
7pm on 27th February 2012 at Haddon House, New Street.
